Outlook Express 6 - Presentation

bulletConfiguring Mail Accounts in Outlook Express
1.   From the Tools menu, choose “Accounts…”
2.   Select the “Mail” tab
3.   Click the “Add” Button
4.   From the Add menu, click “Mail…”
5.   In the text box labeled Display Name, type your name and click “Next”
6.   In the Internet E-mail Address box, type your e-mail address and click “Next” :
                     eg johnv@hotmail.com
7.   E-mail Server Name information screen is information you need to get from your Internet Service Provider:
8.   In the Internet Mail Logon screen, type your Account Name, and Password obtained from your Internet Service Provider
9.   Do Not check the box “Logon using secured Password Authentication”
10. Click “Next” then “Finished”

                      Your account is now ready for use.

 
bulletIdentities – Allows multiple users to maintain separate lists of messages and contact.
Rename “Main Identity”  File / Identities / Manage Identities… /
   select “Main Identity” and click Properties,  Type your name in the “Type your name:” box.

Create an Additional User: “Main Identity”  File / Identities / Manage Identities… /  New /
  Type the name of the person using the new mail account.

 
bulletCreating Subfolders Under Your Inbox to Organize Your Mail
1. Select Inbox in the Folder View (View, Layout…, check Folder List)
2. Select File, New, Folder…, and type a name for the new folder. (maybe Family, Friends, SouthSideComputerClub, Urgent, Business, Spam, etc.
3. Now create Message Rules to sort your incoming mail into these folders for quicker access.

 
bulletCreating a Message Rule
1. At number 1 of the dialog box, Select The Conditions For Your Rule, select one or more check boxes. These check boxes define the conditions under which your rule is to be carried out.
2. At number 2, Select The Actions For Your Rule, select one or more check boxes.  These check boxes define the actions that you want Outlook Express to perform.
3. After you have selected the conditions and actions, click each blue link that appears at number 3 of the dialog box, Rule Description.  The links that appear and the dialog boxes they often help you to further define conditions and action.
4. Finally, at number 4, change the default name for your new rule to a more descriptive one, and click OK.

 
bulletCleaning Your Mail Boxes
1. First delete message you don’t want anymore.
2. Select, Edit / Empty ‘Deleted Items’ Folder / then Yes to confirm deletion
3. Select File / Folder / Compact All Folders

 
bulletSearching for Messages or Text
Edit / Find / Messages… /  Type your search word in one of the fields:
From:,  To:,   Subject:,    Message:

 
bullet*****  Disable Attachments That May Contain a Virus  
Tools / Options… / Security tab /
check “Do not allow attachments to be saved or opened that could potentially be a virus”

View / Layout… /    Uncheck “Show preview pane”
also explorer the different Basic option by selecting and unselecting them.

 
bulletDon’t send your message automatically
Tools / Options… / Send / “Send messages immediately”

 
bullet  Sending an Automatic Reply
1. First you need to create a message without an addressee.
2. In the New Message window, choose Save As and specify a file name and path.
3. Create a new rule specifying the conditions that will trigger the rule and specifying Reply With Message as the action that will be carried out.  This place a blue link in the Rule Description section of the New Mail Rule dialog box.
4. Click the link and specify the file name of the reply message you saved.

 
bulletCreating a Rule from the Selected Message
If you receive a message from someone and you know immediately that you want all mail from that person to be handled by a rule, select the message and choose Message, Create Rule From Message.  The New Mail Rule dialog box will appear already set up to apply the new rule to messages from the selected sender.

 
bulletBlocking Obnoxious Mail
When you get a message from someone you never want to hear from again, select the message and choose Message, Block Sender…  This will add this person to your blocked sender list.  To unblock a person, choose Tools, Message Rules, Blocked Senders List...  Select the sender you want to restore, and then click Remove.
