Mission Statement

The SSCC is an independent nonprofit organization that is open to anyone interested in computing. The SSCC is not affiliated with any business. Our purpose is to promote various aspects of computing and computer literacy to all age groups. We are a member of APCUG ( The Association of PC User Groups) . We have one general membership meeting per month with a guest speaker representing a manufacturer of hardware/software or related industries including retail. In addition, we provide separate Special Interest Groups (SIG's) on various subjects determined by our membership.

ByLaws

 of the SouthSide Computer Club of Indianapolis and Surrounding Communities

Article I

Name

The name of this organization shall be the SouthSide Computer Club.

Article II

Object

The object of this organization shall be to provide a forum for the community to learn about computers, both hardware and software; to present programs at monthly meetings of general interest to its membership; to provide Special Interest Groups (SIGs); and to promote a better understanding of computers.

Article III

Members

Section 1. Any individual or family group with an interest in computers or a desire to learn more about computers.

Section 2. Such individual or family group may attend up to three regular meetings before deciding to become a member.

Section 3. Upon completion of the membership application and payment of annual dues for an individual membership or for a family household membership, applicant shall be placed on the Active Member List.

Section 4. Members will be notified within thirty (30) days of renewal. If dues are not remitted by the due date, a reminder notice will be forwarded. If dues are not paid within thirty (30) days of the renewal date, the member will be removed from the Active Member List and placed on the Inactive List.

Article IV

Officers

 

Section 1. The officers of the SouthSide Computer Club shall be a President, a Vice President(s) of Programming, a Secretary, a Treasurer, a Membership Co-ordinator, a Newsletter Chairperson(s), a Special Interest Group (SIG) Chairperson and a Business Support Coordinator. These officers shall perform the duties prescribed by these bylaws and by the parliamentary authority adopted by the organization.

Section 2. At the Executive Board meeting held on the third Thursday of August, the President shall appoint a Nominating Committee. It shall be the duty of this committee to nominate candidates for the offices to be filled at the Election Meeting held on the first Thursday of November. Before the election at the Election Meeting on the first Thursday in November, additional nominations from the floor shall be permitted.

Section 3. The officers shall be elected to serve for one year or until their successors are elected, and their term of office shall begin on the January 1 next following the November elections.

Section 4. The newly elected officers shall be invited to attend the Executive Board meeting to be held on the third Thursday of November and shall be expected to conduct the Executive Board meeting to be held on the third Thursday of December, after being opened by the outgoing officers.

Section 5. The President shall not hold more than one office at a time. (Amended 10/98)

Article V

Duties of Officers

Section 1. The duties of the President shall include, but not be limited to, presiding at the regular meetings of the membership held on the first Thursday of each month, the regular may be called from time to time; provide that the parliamentary procedures adopted by the organization are followed at all times; manage the organization in the best interests of the entire membership.

Section 2. The duties of the Vice President(s) of Programming shall include, but not be limited to, securing programs for each of the regularly scheduled meetings of the membership, with the exception of the regular meeting held on the first Thursday in December, such regular meeting be designated as a social meeting; preside at any regular meeting of the membership or any regular meeting of the Executive Board in which the President is unable to be present.

Section 3. The duties of the Secretary shall include, but not be limited to, taking minutes of the regular meetings and of the Executive Board meetings, preparing them for presentation at the following Executive Board meeting.

Section 4. The duties of the Treasurer shall include, but not be limited to, keeping financial records for the organization; preparing a monthly financial report to present at the Executive Board meetings; preparing and filing in a timely manner any government forms, both federal and state.

Section 5. The duties of the Membership Co-ordinator shall include, but not be limited to, maintaining a database of the Active Membership List and the Inactive List; preparing and mailing renewal notices for annual dues, collecting dues and submitting them to the Treasurer for deposit.

Section 6. The duties of the Newsletter Chairperson(s) shall include, but not be limited to, preparing a newsletter periodically for distribution at regular meetings; preparing flyers as directed by the President or the Executive Board.

Section 7. The duties of the Special Interest Group (SIG) Chairperson shall include, but not be limited to, organizing such SIGs as may be requested by the membership and approved by the Executive Board; assisting SIG leaders of the various SIGs, as needed.

Section 8. The duties of the Business Support Coordinator shall include, but not be limited to, acting as liaison between the Organization and businesses to further the objectives of the Organization.

Article VI Meetings

Section 1. The regular meetings of the SouthSide Computer Club shall be held on the first Thursday of each month unless otherwise ordered by the Executive Board.

Section 2. The regular meeting on the first Thursday of November shall include the election of officers for the ensuing calendar year.

Section 3. Special meetings may be called by the President or the Executive Board; special meetings shall also be called upon written request of ten members, stating the reason for such request. Except in cases of emergency, at least ten days notice shall be given.

Section 4. Twenty percent of the membership of the SouthSide Computer Club shall constitute a quorum for a regular meeting.

Section 5. Sixty percent of the Board of the SouthSide Computer Club shall constitute a quorum for an Executive Board meeting.

Article VII

The Executive Board

Section 1. The officers of the SouthSide Computer Club shall constitute the Executive Board.

Section 2. The Executive Board shall have general supervision of the affairs of the SouthSide Computer Club between its regular meetings, fix the hour and place of meetings, make recommendations to the organization, and shall perform such other duties as are specified in these bylaws. The Board shall be subject to the orders of the membership, and none of its acts shall conflict with any action taken by the membership.

Section 3. Unless otherwise ordered by the President, regular meetings of the Executive Board shall be held on the third Thursday of each month. Special meetings of the Board may be called by the President and shall be called upon the written request of three members of the Board.

Article VIII

Parliamentary Authority

The rules contained in the current edition of Roberts Rules of Order shall govern the SouthSide Computer Club in all cases to which they are applicable and in which they are not inconsistent with these bylaws and any special rules of order the organization may adopt.

Article IX

Amendment of Bylaws

These bylaws may be amended at any regular meeting of the SouthSide Computer Club by a two-thirds vote of the attending Active Members, provided that the amendment has been submitted in writing at the previous regular meeting.
